Center for Life Management (CLM) provides Southern New Hampshire’s most comprehensive array of outpatient mental healthcare. The Administrative Assistant provides advanced clerical and administrative support for the departments of Marketing, and Philanthropy. This is a part time, 20 hour per week position with a flexible, hybrid opportunity.

Major Functional Areas and Description of Duties

  • Works with Marketing, and Philanthropy providing administrative support;
  • Responsible for performing various clerical tasks, such as updating marketing and donor databases, while maintaining mailing lists of various stakeholders, and donors;
  • Assists the Director of Philanthropy with coordination of donor correspondence; committee meetings and minutes, scholarship program and Foundation Supports Program
  • Assists in the organizing of promotional, donor and other special events as needed;
  • Maintains marketing and philanthropy supplies; manages promotional materials;
  • Serve on appropriate committees, both internal and external, as determined by supervisor;
  • Function professionally and in a manner that protects the integrity, confidentiality and rights of all patients and staff;
  • Execute all required services and timely documentation on each service delivered in accordance with agency policies and federal/state standards;
  • Maintain professional memberships, licenses, accreditation, certifications, etc.;
  • Represent CLM in a professional and appropriate manner in all settings;
  • Perform all other duties as assigned by supervisor.

Qualifications and Skills

  • Minimum of an Associates Degree or Bachelor’s degree in applicable field;
  • At least 5 years of comparable experience in applicable field;
  • Strong communication, interpersonal, and customer service skills required to interact with clients, families, staff and visitors in a professional manner;
  • Ability to work in a fast-paced environment with strong organizational skills, ability to problem solve, multi-task, and manage competing tasks while attending to details and adhering to deadlines;
  • Ability to maintain composure and exercise sound judgment in routine, urgent, and emergent administrative tasks;
  • Proficient computer skills and knowledge of Microsoft office applications with emphasis on Word, Excel, Outlook and TEAMS;
  • Ability and desire to work as part of a team while also able to be self-directed and motivated with minimal supervision;
  • Flexibility to adapt schedule and fill in as needed;
  • Ability to acquire and effectively execute new skills as needed according to evolving department needs.

Physical Demands and Working Conditions

The majority of the work takes in an office setting with occasional remote work permitted. Manual dexterity is needed to use computers and standard office equipment. The ability to sit or stand for extended periods of time is required. Reliable transportation is required for travel. Must be able to carrying/lift 20 pounds transporting marketing materials and auction items. A current driver’s license, clean driving record, proof of auto insurance coverage and reliable internet for remote work is required for this role.
